Google Calendar

Getting started

Use the links below to find out more what you need to know in Google Calendar during your first few days in Google Workspace.

Navigate the calendar

By default, your calendar shows in week view, with each day of the current week showing as a column, from Monday to Sunday. You can choose the view you wish to show the calendar in, and navigate to any date required.

Create events

You can create an event by clicking in the calendar where the event should be entered, or using the New button in the bottom-right corner of the calendar screen.

Edit events

After creating an event, you can edit the event by changing the date, time or any other details...

Set repeating events

A repeating event is an event that recurs at the same time each week, month or other interval - there is no need to add each entry in the sequence manually...

Add an attachment to an event

If you have documents stored in Google Docs that will support your event e.g. a meeting agenda or list of previous actions, you can attach these to a calendar event. A link to the document will be added to the event, which can be clicked to open the document during the meeting or at any time...

Schedule meetings with colleagues

You can add guests to any event to change it from a personal appointment to a meeting. Once you have added guests, you can check their availability to ensure all attendees are free for the event...

Respond to a meeting invitation

If you receive an email message informing you of a meeting, you can open the email message then confirm whether you will be attending the meeting. The meeting in all of the guests' calendars will be updated to show your response.

Add a Google Meet link to an event

You can add a Google Meet video call to a calendar event you create, adding a meeting link to the event which attendees can click on to enter the online meeting. Note that meetings created in the calendar will follow any restrictions or settings that your Google Workspace administrator has applied.

Book a resource for a meeting

If your organisation has set up meeting resources such as conference rooms, these can be viewed in a calendar event and booked for a meeting. The resource will be added to the attendee list and a time during which all attendees and the resource are free can be found...

Cancel a meeting

As the meeting host, when you delete a meeting from your calendar, you will be asked if you want to inform all guests, or just cancel the meeting without sending any notification...
