All day events don't show fully in the Find a Time screen - it looks like the person is available. How can I get around this?

By default, all day events are set to show as available in the calendar.

When creating an event, change the Show Me option to Busy to ensure the time display as unavailable in colleagues' Find a Time screen.

Is there a way to add a note to a response to a meeting request?

Open the invitation in your Inbox and click on the More Details link to view the invitation in your calendar. Click on the arrow to the right of the Yes, No and Maybe links to show additional options to add a note or propose a new time for the meeting. 

Is there a way to group or reorder your calendars on the left-hand side of the screen?

Calendars are listed in alphabetical order and there is currently no functionality to reorder the list of calendars. 

Can you track appointments in Google e.g. see the date a meeting was created in the diary, who set it up/accepted etc?

This is not currently available in G Suite. However, each meeting invitation will arrive as an email, in which the Show Details arrow can be clicked to show all details about when the request was created. 

The calendar appointment will have a tick against each attendee who has accepted the request.

If you add a new participant to a meeting, will the invitation be re-sent to everyone else that was invited to the meeting?

No. After adding the new guest to a meeting, click on the Save button and you will be asked if you wish to send the invitation to the new guest. Existing guests will not receive an email message.

Is it possible to save emails within a calendar event to keep all meeting information in one place?

Google Calendar has the ability to store text in the Description field, or attachments using the Add Attachments link within an event.

There is no way in which you can attach an email from Gmail into a calendar invitation directly. As a work around, you can print your email message to PDF format, then attach the PDF to the invitation via the Add attachment link. 

Is there a way to propose a new time for meetings?

Open the invitation in your Inbox and click on the More Details link to view the invitation in your calendar. Click on the arrow to the right of the Yes, No and Maybe links to show additional options to add a note or propose a new time for the meeting. Click on Propose a new time, then choose the new time for the meeting. Add an optional message to the meeting organiser, then click on Send Proposal

Can you find out who has booked a meeting room at a specific time?

You can subscribe to the resource calendar for the meeting room and see details of all bookings for that resource. Click on the + next to Other calendars and choose Browse Resources to view a resource calendar. 

Can the colour of appointments be set so that colleagues can see when I am free, busy or out of the office?

You can set your availability for an appointment, by specifying whether you are available or busy during this time.

When scheduling a meeting with you, your colleagues will see this status when they attempt to find a suitable time for the meeting.

What happens if I send a meeting invitation to an Outlook user?

The Outlook user will receive the invitation as normal with options to accept, decline or accept tentatively. If they accept, it goes into their calendar and an email will get sent back to the G Suite account to say they've accepted. If a reminder is set in the Google Calendar appointment, it will not be copied to the Outlook appointment - the Outlook user would have to set their own reminders if required. If the G Suite user updates the appointment, an update is sent to Outlook and the calendar appointment in Outlook updates automatically. 

In the calendar, can you load public holidays e.g. UK bank holidays?

Yes. Click on the + next to Other Calendars and choose the Browse calendars of interest command. Click on the drop-down arrow next to Regional Holidays and find the country you wish to add. Tick the country you wish to add to your calendar, then click on the Back button. 

Can I attach files to a meeting invitation?

Yes. Click on the Add Attachment button on the toolbar of the Add description box in the event. You can choose to attach a document from Google Drive, or to upload a document from your computer. 

Can I restrict an appointment so that other users can't see the details?

Yes, Google Calendar has privacy settings. In the event details, select Private so only others with Make changes to events privileges (or higher) for your calendar can see the event and its details. 

Can I edit just one instance of a meeting in a recurring meeting?

Yes. Open the instance that you want to edit, make your changes and click on Save. Google Calendar will ask whether you want to apply your changes to the selected meeting only, all meetings, or all meetings moving forward.

How long do past events stay on my Google calendar?

Your past events remain on your calendar forever, unless you delete them. If you want to view past events, make sure you wait a few seconds for Google Calendar to retrieve details for the selected dates. 

Can I copy an event in my calendar?

Yes, by opening the event, then choosing Duplicate Event from the More Actions drop-down. 

Can I set up a recurring meeting?

Yes, Google Calendar fully supports recurring meetings. To set up a recurring meeting, check the Repeat box then choose all required options from the Repeat dialog box e.g. how often the event should repeat, as well as the start/end date. 

What's the maximum number of invitees for a meeting? 

You can invite up to 200 people to an event.

If you need to invite more people, you can invite people using Google Groups. With Groups, you can invite groups that have up to 100,000 people.

Can I see a list of attendees who have accepted a meeting invitation I have sent?

Yes, open the event in your calendar to see who has accepted your invitation. 

Can I invite meeting attendees who are outside of the organisation?

Yes, you can send meeting invitations to any email address, by ending their address in the Guests box of a calendar event and clicking on the Add button. 

Can I book rooms and resources using Google Calendar?

Yes, provided these have been set up by your calendar administrator. In the event, click on the Rooms  link and add the room you wish to book. You can then use the Find a Time tab to ensure the room is not booked during the required time. 

Can I change the format of dates in the calendar?

The basic date format can be changed by clicking on the Settings cog near the top-right corner of the Calendar screen, then choosing Settings. Under Language and region, choose the required Date format and Time format, and click on the Back button when complete. 

Can I show more than one time zone on my calendar? 

Yes, you can view two time zones in your Google calendar. To add another time zone, click on the Settings cog in the top-right corner of the screen, choose Settings, then the Time zone option on the left-hand side of the screen. Select another time zone from the Secondary Time Zone list and click on Save when complete. 

Can I change the number of days that appear on my calendar? 

Yes, you can specify a custom number of days by clicking on the Settings cog in the top-right corner of your Calendar window, then on Settings. Click on View option on the left-hand side of the screen, then select the number of days from the Set custom view drop-down list. 

Back in your calendar, show the calendar in Custom View to view the custom number of days. 

Does Google Calendar have event reminders?

Yes, by default, Google Calendar displays a pop-up reminder 10 minutes before an event. This can be changed for any appointment that you create. 

I have a personal Google Calendar - can I overlay it with my work calendar?

You can create any number of calendars in Google and display them at the same time which will overlay them by default. If you have a personal Google calendar already, you can share it with your work email address and access it from your work account.

To overlay Google Calendars, simply click on each calendar you wish to display, so that the box to the left of the calendar shows a colour. You can choose the colour for each calendar by positioning the mouse over the calendar, then clicking on the ellipses.
