Is there a limit to the size of message I can receive in Gmail?

Yes, you can receive messages up to 50MB in size. 

Gmail doesn’t close a message once I've replied to it. Can this be set up?

This is standard functionality of Gmail and cannot be changed. Once you have replied to a message, click on the Back button to return to the Inbox. 

Is a meeting invitation removed from your Inbox once you have responded to it?

No. The meeting invitation will stay as message in your Inbox once you have responded, although you can click on the Delete button to quickly remove the message once you have responded.

You can set up filters and labels to help you to manage your Inbox and remove messages automatically.

Is it possible to expand an email distribution list to remove individuals from an email?

This is not possible in Gmail.

If you feel you will be doing this regularly for a particular distribution list, you can create a group in your contact list. When you address a message to a contact group, it will expand to show all members, and you can choose which members to send the message to.

Can you send links to page from Internet Explorer in Gmail?

Yes. You can copy the URL of the page from Internet Explorer using the Ctrl C shortcut, then paste it into a message using Ctrl V.

Can I use tabs in an email message, to line text up in columns?

Tabs are not supported by Gmail, but if you are using Chrome, you can press ALT and 009 on the numeric keypad to insert the tab character.

If you need to align text in columns, you can create a table in a Google Doc, then copy and paste it into your email message using the Ctrl C and Ctrl V shortcuts.

Is is possible to use a specific font size in a message?

Gmail only supports the small, normal, large and huge options - you are currently unable to set a specific font size.

Can you add voting buttons to an email message?

No, but you can create a form to gather responses to specific questions.

Can I paste a screenshot into Gmail without saving it as an image first?

You can copy the entire screen to the clipboard by pressing the PrintScr button, or the active window by pressing Alt PrintScr. If you use Google Chrome, you can click in the body of an email message and press Ctrl V to paste the screenshot.

Which web browsers can I use with Google Workspace?

Google Workspace runs on Chrome, Firefox, Internet Explorer and Safari - however only the last 2 versions of any browser are actively supported and tested by Google Workspace. Regardless of your browser type, you must have cookies enabled to use Gmail. Also, if your browser supports it, enable JavaScript.

Can I search through the Global Directory?

When you are composing a message and start to type a name into the To, Cc or Bcc boxes, all matches from the global directory will be shown for you to select from.

Can I transfer my personal contacts from Outlook to Gmail? 

Yes, you can download your Outlook contacts to a .CSV file, and them upload them to Gmail.

What is the maximum number of contacts I can add to a contact list?

You can create up to 25,000 personal contacts, with a total storage size of 20MB.

Is there a way of quickly adding a name from an email address to the contact list? 

You can position the mouse over a name in the header of the message, then click on Add to Contacts.

The contact will be added to My Contacts.

Can I copy and paste text from a Word document into a Gmail message?

Yes, you can select the text in Word and press Ctrl C, then switch to your email message, click in the message body and press Ctrl V.

If the text shows as unreadable, convert the message to plain text first by clicking on the drop-down arrow in the bottom-right corner of the message window and choosing Plain text mode.

Can messages be saved to a local drive as in Outlook? 

There is no Save command for a message, but if you use Google Chrome you can print a copy of the file to a PDF document.

In the Print screen, click on the Change button under Destination and choose Save as PDF, then click on Save

Can I see the number of unread messages in each open mailbox? 

Yes, if your browser is set to display pop-ups in a new window, you can click do the following:

The number of unread messages will show in on the browser tab. 

Can I open a delegated mailbox in a new window? 

Yes, you can click on the drop-down arrow after your email address. Hold Ctrl and click on the delegated mailbox to open it in a new browser tab. Holding Shift while clicking on the delegated mailbox will open it in a new browser window. 

When delegating your mailbox, can you delegate more than one person? 

Yes, you can delegate your mailbox to up to 25 different people. 

When delegating your mailbox, can you specify different authority levels? 

No, there is currently no way to set specific access for mailbox delegations. The person you delegate will be able to read, delete and send messages on your behalf, but not change any settings on your account. 

Can I create a filter that forwards all mail that comes in from a specific company? 

Yes you can:

Can I forward my email to a colleague when I'm away on holiday? 

Yes - you can use a filter to forward the messages to someone else. You will need to turn the filter on just before you go away, and turn it off again when you get back.

If a new contact emails me, will they get my out of office reply if it's turned on? 

By default, anyone that emails you will be sent your Out of Office auto-reply but you can choose to only send auto replies to your contacts or anyone within the organisation if you prefer. 

Can I have different signatures for new messages and replies? 

Yes - you can choose which signature to send for new emails and for reply/forward messages. 

What is the maximum number of characters I can use for my signature? 

Your signature can contain up to 10,000 characters. 

Can I change the colours of my mailbox? 

Yes, you can choose from a number of different colour schemes, or create your own. To change colours, click on the Settings cog near the top-right corner of your Mail window, then choose Settings. Select the Themes tab to choose a different theme. 

How long do messages remain in my SPAM folder?

Messages remain in the Spam folder for 30 days. After that, Gmail deletes them permanently. 

If I archive a message and then someone replies to it, will it show in my Inbox?

Yes, if someone replies to a message you have archived or deleted, that message appears in your Inbox as a conversation, with all previous content. 

If I delete an invitation from my Inbox, is the meeting removed from my calendar?

No. Deleting or archiving a meeting invitation does not affect the invitation on your calendar. 

How long do messages stay in the Bin? 

Messages remain in the Bin for 30 days. After that, Google Apps Email permanently deletes them.

If you want to remove a message from your Inbox but don’t want it to be removed after 30 days, you should archive it.

How long do messages stay in my Archive?

Messages remain in your archive forever, unless you choose to delete them. 

What is the difference between deleting messages and archiving them?

If you delete or archive a message, it is removed from your Inbox and placed in the Bin and permanently removed from your Gmail  account after 30 days. If you archive a message, it's moved to All Mail where you can view it again at any time. 

What does it mean to mute an email conversation? 

If you're subscribed to a mailing list, you may receive multiple messages in a long conversation. If you'd rather not receive any more messages in that conversation, you can "mute" the conversation to keep all future additions out of your Inbox.

The mute feature works only for messages you received as part of a mailing list. If the message was sent directly to your email address, you can't use the mute feature.

When you search in Gmail, are attachments also searched? 

No, but you can use the filename: search keyword to find attachments with specific words in their name. 

Can you move messages between different mailboxes you have access to?

Only by forwarding the email to the other account. 

Can you resend a message in Gmail?

The only way to resend a message at present is to find the message in Sent Items and forward it on to the same person you originally sent it to.

Can I sort messages in my Inbox to show unread messages at the top?

No, you can't sort messages in your Inbox, but can use the Search box to show the messages you wish to work with e.g. type is: unread in the search box to show only unread messages. 

Can I mark a message as "unread" after I've opened it? 

Yes, by selecting the message, then choosing Mark as Unread from the More drop-down list. 

Can I set different coloured stars in my Inbox?

Yes - click on the star icon of a message to set the default yellow star, then click again to cycle through the additional stars available. 

Is there a way to show messages sent directly to me, rather than to a distribution list?

You can't set up a filter to show messages addressed only to you, but you can enable Personal Level Indicators by clicking on the Settings cog, choosing Settings and the General tab.

Once personal level indicators have been enabled, you will see a single arrow next to messages sent to you and other people, and a double arrow next to messages sent only to you.

Can I highlight messages in my Inbox? 

Yes, you can use labels and stars to highlight messages in your Inbox. For example, you might create a label named Action and apply the colour red to it, so you can easily see it in your Inbox. 

Can I rename a label?

You can rename a label by positioning the mouse over it on the left-hand side of the screen, clicking on the drop-down arrow then choosing Edit

Can I have nested labels to mimic folders and subfolders in Outlook? 

Yes, when you create a label, you can choose to nest it under another label. 

Is there a limit to the number of labels I can create?

There is no limit but Google recommends you use less than 5,000 labels, including nested labels. 

Can I apply more than one label to a single message?

Yes, you can apply any number of labels to a message by opening or selecting the message, then selecting one or more labels from the Labels drop-down list. 

Is there a way to change who an email message is From? 

The From field will only appear if you have multiple email addresses set up on your email account and not if you have aliases set.

If you have multiple email addresses set, the From field will appear automatically when you compose a message, and you can choose the sender of the message from this box. 

How can I add an image to a message?

You can use the Insert Photo button to add an image from Google+ or upload an image from your computer. 

Can I remove an attachment from a message I receive?

You can download file attachments or save them to Google Drive, but can only remove an entire message, not a file attachment. 

Is there a size or type limitation for sending file attachments in Gmail? 

Yes, to help prevent viruses, Gmail won't accept file attachments that are executable files. 

You can send up to 25MB of attachments per email, across any number of files. If you use Google Drive, you can share a file from Drive that is up to 10GB in size. 

Can I attach files by dragging and dropping them from the File Explorer of Windows?

Yes, you can drag and drop files into messages. As you drag the file over the message, you will be shown the area to drop it into in order to attach it. 

Can I recall a message that I've sent in error?

Yes, you can use the Undo Send feature that allows you to recall a message up to 30 seconds after you send it. 

Is there an AutoCorrect feature in Gmail? 

No, this feature is currently not available in Gmail. 

How can I mark a message as important?

This cannot be done in Gmail - the best solution is to add a prefix to your subject e.g. NB: or URGENT: 

Can Gmail automatically spell-check messages as I type them? 

No, Gmail doesn't currently include an automatic spell-check but if you use Chrome, your email message will be checked as you type. On other browsers, you can check your spelling at any time by clicking on the drop-down arrow in the bottom-right corner of a message and choosing Check Spelling

Can I change the subject of a message in my Inbox?

You can only change the subject of a message that you are replying to or forwarding to someone else. After clicking on the Reply, Reply to All or Forward link, click on the drop-down arrow to the left of the address line and choose Edit subject.  The message will show in a new conversation pane and the subject will be selected - enter a new subject for the message, then complete and send the message as normal. 

Note that by changing the subject, you are starting a new conversation in Gmail and the reply will not appear in the thread of the original conversation. 

When I forward a message, will any file attachments also be forwarded? 

Yes, although you can choose to remove the attachments by removing the checks from the boxes next to the attachments you do not wish to include. 

Can I forward part of a conversation?

Yes, by expanding the specific message you wish to forward, then clicking on the drop-down arrow next to the Reply button to the right of the message header. Choose the Forward command. 

Can I turn off conversations and show each message individually in my Inbox?

Yes, by clicking on the Settings cog near the top-right of the screen, choosing Settings then clicking on Conversation view off.

Click on Save Changes along the bottom of the Settings screen to return to the Inbox. 

Will I be notified of new mail if I have Gmail open, but not on screen? 

You can enable desktop notifications only if you use Google Chrome as your web browser. This is done via the Settings cog and Settings command, under Desktop Notifications

Is there a preview pane in Gmail? 

Although there is no preview pane in Gmail, there is a Lab that you can enable to allow you to preview messages:

You can now click on the Toggle split pane mode button to choose whether to split the screen vertically or horizontally, to show a preview of the selected message on the right or bottom of the screen.
