You can delegate your Gmail mailbox so that another user at your organisation can read and respond to messages in your Inbox on your behalf. You can add up to 25 delegates to your mailbox.
When you delegate your mailbox, you will also make your contacts available to the person you have delegated. To access the contacts of the person whose mailbox you are viewing, click on the Contacts link on the left-hand side of the screen. You will also be able to view their contacts when you compose a message from their account and click on the To or Cc link in the new message.
In addition, delegates will be able to RSVP to meeting invitations on your behalf.
To delegate another user access to your mailbox:
Click on the Settings cog in the top-right corner of the screen
Choose See all settings
Click on the Accounts and Import tab
Next to Grant access to your account, click on the Add another account link
Enter the email address of the person you wish to give access to, then click on Next Step
Confirm the mailbox delegation by clicking on the Send Email to Grant Access button
If you have been granted access to another user's mailbox, you will receive a message in your Inbox and will need to click on the link in the message to accept the request. Once accepted, you can view their mailbox by clicking on your profile picture or email address in the top-right corner of the screen. Click on the account you wish to view:
You can click on the Compose button in the delegated mailbox to send a message on behalf of that person.
To remove a delegate from your mailbox:
Click on the Settings cog in the top-right corner of the screen and choose See all settings
Click on the Accounts tab
Click on the Delete link next to the email address of the person you want to remove from your mailbox delegation list
Click on OK to confirm you wish to revoke access to your mailbox
