Appointment scheduling

Appointment scheduling can be used to allow colleagues to reserve time in your calendar e.g. for training sessions or one-to-one appointments at a time convenient to your customers. Once you have added an appointment schedule to your calendar, anyone viewing your calendar will be able to book an appointment in the schedule.

To create an appointment schedule in your calendar:

  • Click on the date and time for the first appointment in your calendar

  • Click on the Appointment Schedule option

  • Add a Title for the schedule of events

  • Click on Set up the schedule

  • Choose the duration of each appointment in the schedule

  • Set up the date and time for each appointment using the + button next to the day, then choosing the start and end time for each appointment

  • If you want to add further details, such as an automatic buffer between appointments, click on the Booked appointment settings  drop-down

  • To specify the calendar that the appointment should be scheduled in, click on the Calendars drop-down

  • To add a co-host to each meeting, click on the Co-hosts drop-down

  • When all details have been entered, click on Next

Change the way the booking will look to vieers by chanigng the booking page photo and name, adding a meeting room or Google Meet link and a description of the event. You can also specify the fields required to book the appointment. 

Click on Save when complete.

A single calendar event will be added to each time in your calendar where appointments have been scheduled, showing the start time of the first event to the end time of the last event. Appointment schedules can be identified by a grid icon in the calendar event. 

To allow people to book an appointment in the schedule:

  • Click on the event in your calendar

  • Click on Share

  • Click on the Copy Link button

  • Click on Done when complete

You can now share the copied link with everyone that you want to be able to book an appointment.  Note that in order to view the appointment schedule, your colleague must sign in to a Google account.

When a colleague visits the URL, they will see all available appointments and be able to click on one to book it. 

To book an appointment:

  • Click on the appointment you wish to book

  • Ensure your contact details are correct

  • Click on Book

  • Click on Close

The appointment you have booked will show in your own Google Calendar with a status of Busy. 

A new appointment will be added to the appointment organiser, with your name added as a meeting attendee.
